VISA Information

As the VISA process takes longer than expected time based on the local public holidays, documentation and other factors, we request all the participants to apply for the visa at the earliest. Few countries provide e-visa/on-arrival visa, so kindly check with the local Embassy or Guide for correct information.

Plenareno is not liable to contact the Embassy or assist regarding visa application for the delegates, speakers or attendees.

Important note for failed visa applications: Visa issues are cases which are one’s personal issue and cannot be considered for cancellation of registration. Hence Plenareno policy doesn’t include refund policy for such cases.

Requesting an Invitation Letter

Letter of invitation will be sent only through the mail and only to those individuals who have confirmed their participation by providing requested documents & registration for the conferences mentioned on the website: www.plenareno.com Upon your successful registration, please contact us to request a personalized letter of invitation.

Transportation & Insurance

Please note that any kind of transportation and parking is the sole responsibility of the registrant. The registration amount doesn’t include any insurance charges.

Responsibility

Delegates, Speakers or Attendees are responsible for their belongings at the conference venue. The Organizers at the venue will not be held responsible for any misplaced or stolen items belonging to Delegates, Speakers or Attendees; due to any reason whatsoever.

Press/Media

Press permissions are subject to approval hence any press permissions must be obtained and approved from Plenareno (www.plenareno.com) conferences atleast 45 days prior to the event/conference. The press will not quote about speakers or delegates or attendees unless they have obtained their permission in writing.

Cancellation Policy

If Plenareno cancels/postpone the conference or the event for any reason, a full refund minus the service charge (10%) of payment gateway and (5%) bank conversion charges of the paid registration fee will be initiated to the registrant. You can also use the amount to register for any other Plenareno conferences occurring within 2 years from the date of cancellation or postponement. 

Transfer of Registration

Registrations paid in full amount can be transferred to other people from the same organization. The registered person should mail us at [email protected] regarding the transfer including the full name of the replacement person, their title, email address and phone number.

Registrations cannot be transferred to another person if informed within 25 days of the conference start date.

The refund policy is not applicable for the transferred registration.

Refund Policy:

Attendees should take care of the travel restrictions from the local embassy website or travel agents before registering for Plenareno conferences. 

Situations, where the registration needs to be canceled and transfer of registration is not possible, below are the arrangements which can be made:

Since for arrangements like venue booking, printing, shipping, hotels and other overheads payments are done in advance, we had to keep Refund Policy in as following slabs -

  • Before 60 days of the Conference: Eligible for full Refund (excluding payment gateway and bank conversion charges)
  • Before 30-60 days of the Conference: Eligible for 50% of payment Refund
  • Within 30 days of Conference: Not eligible for Refund

For Virtual events, there is 50% refund for 45 days of the event commencement and within 45 days no refund as attendees can participate at comfort from their home/office. Transfer of payment is applicable to the future events in 2024/2025. In case of in-person events, the balance registration fee should be paid by the attendee after deducting the previous transfer fee.

Accommodation Cancellation Policy:

All the accommodations should be taken care by the participants directly with the venue hotel or nearby hotels. Plenareno is no where involved with the accommodation, cancellations or any other stay policies.
